Terms & Conditions
1. Booking & Payment
A 30% non-refundable deposit is required to secure your event date. The remaining balance must be paid in full no later than 28 days (4 weeks) before the event date. Failure to pay the balance by this date may result in cancellation of the booking, with all payments forfeited.
2. Cancellations
All cancellations must be made in writing. A minimum of 14 days' notice is required for cancellation. All payments made are non-refundable, regardless of when the cancellation occurs. This applies regardless of reason, including illness, venue cancellation, postponement, or change of plans.
3. Postponements
Requests to reschedule are subject to availability and are not guaranteed. If a new date cannot be accommodated, the booking will be treated as a cancellation and all payments will be forfeited.
4. Travel & Mileage
Travel is included within 20 miles for Starter and Classic packages. The Premium package includes travel up to 40 miles. Mileage is calculated on the return journey, so an included allowance of 20 miles covers 40 return miles. Additional mileage beyond these distances may be charged and agreed in advance.
5. Event Setup & Space Requirements
The client must provide a safe, dry, and accessible space for setup and operation. Adequate access must be provided at the agreed time to allow setup and pack down. Service time begins at the agreed start time regardless of delays caused by the venue or client. Keepsake Keyrings reserves the right to refuse or cease service if conditions are unsafe or unsuitable.
6. Prints & Availability
Each package includes a maximum number of keyrings as stated. Included quantities represent maximums and are not guaranteed to be fully used. Unused keyrings are non-refundable. Additional keyrings are subject to availability of time and materials during the event and will be charged at the agreed rate.
7. Equipment & Service Issues
In the unlikely event that Keepsake Keyrings is unable to deliver part of the service due entirely to an issue caused by us, a partial refund may be offered. Any refund will be calculated based only on the part of the service that could not be delivered. No refunds will be given for issues caused by the venue, power supply issues, guest behaviour, weather, or circumstances outside of our control.
8. Guest Conduct
Guests must behave respectfully towards staff and equipment. The client is responsible for guest behaviour within the service area. Keepsake Keyrings reserves the right to suspend or terminate service if staff are subjected to abuse, unsafe behaviour, or interference with equipment.
9. Photography & Marketing
By booking, the client grants permission for photographs taken during the event to be used for portfolio, marketing, and social media, unless declined in writing prior to the event.
10. Venue Responsibility
Keepsake Keyrings is not responsible for venue-related cancellations, closures, access restrictions, or changes.
11. Force Majeure
Keepsake Keyrings shall not be held liable for failure to perform due to circumstances beyond our control. In such cases, rescheduling or partial refunds may be offered at our discretion.
12. Acceptance of Terms
Payment of the deposit and/or balance confirms acceptance of these Terms & Conditions in full.
